Connect EqualWeb to Box
EqualWeb scans, scores and remediates the PDFs in your Box enterprise. The connection uses a Platform App with Server Authentication (Client Credentials Grant) - Box's standard enterprise authentication - explicitly approved by your organization's admin.
- A user with Admin permission (or Co-Admin with app management) in your Box enterprise
The setup, start to finish

Create the app
- Go to app.box.com/developers/console → Create Platform App → Custom App
- Name it EqualWeb PDF Accessibility and continue
- For the authentication method choose Server Authentication (Client Credentials Grant) → Create App

Configure permissions
- In the app's Configuration tab: set App Access Level to App + Enterprise Access
- Under Application Scopes check: Read all files and folders stored in Box, Write all files and folders stored in Box, and Manage enterprise properties (needed for the accessibility-status stamp)
- Under Advanced Features enable Make API calls using the as-user header (lets the scan act as a user you choose and see that user's files)
- Save Changes, then copy the Client ID and Client Secret from the OAuth 2.0 Credentials area

Authorize the app in your enterprise (admin)
- Go to app.box.com/master (Admin Console) → Integrations → Platform Apps Manager (on some accounts: Apps → Custom Apps Manager)
- Add App / Authorize New App → paste the Client ID from Step 2 → Authorize
If you change the app's scopes after authorizing, click Reauthorize on the app.

Collect two identifiers
- Enterprise ID: in the developer console under the app's General Settings (or Admin Console → Account & Billing → Account Information)
- (Recommended) User ID to act as: Admin Console → Users & Groups → pick the user who manages the documents → copy the numeric User ID. The scan will see that user's files

Right-click menu and automatic sign-in (SSO)
- As part of onboarding, the EqualWeb team enables the file-menu entries on PDFs in Box for you: EqualWeb: Check accessibility, View report and Make accessible
- From activation, any user in your organization who clicks one of them lands in the EqualWeb panel already signed in - Box attests the user's identity on every click (a one-time code exchanged server-to-server), with no password involved

🔒 The app is inactive until your enterprise admin explicitly approves it (Step 3), and the approval can be revoked at any time from the same screen.
Activate in EqualWeb
Go to login.equalweb.com → PDF Integration → Box → Settings, enter the values you collected, click Save and then Test connection.
From the moment you connect, EqualWeb automatically classifies every document by treatment priority - required for service, published to the public, internal, or archive - including public-exposure detection. In the Classification screen you can tag whole folders, exclude items (reversibly), and set an archive policy - and remediation is one click away.
